How to design an 'Event Reminder' campaign.

An 'Event Reminder' campaign can be crucial in the learner journey. Not only is it key for you to know who is attending an event, by reminding students you keep them warm and keep your event at the forefront of their minds! Learners are often nervous before events, and this campaign acts as a reassurance alongside a reminder.

Below is an example of one of our most successful event reminder campaigns. Scroll to the bottom of this article for more structural and formatting guidance for this campaign.

Hey {Name}, Jenni here from {college name} 👋 Thank you for registering for our Open Evening, can't wait to see you there! The Open Evening will be taking place on {event date} from {event time} at {event location}.

Will we see you there?

1. Yes, I’ll be there!

2. I can’t make that date

3. I have some questions first…

For Event Reminder campaigns, you should provide all of the key the information about the event in the first message. This ensures that the highest percentage of students will know about the event. If a learner needs to book or register their place online, it is also important to include this information to increase registrations and capture their attention.

If the learner replies '1’ (or 'Yes, I'll be there!'), it is best to provide some positive language followed by any action the student needs to take. For example;

Amazing, we can’t wait to see you! Please bring along your ID and make sure to register your place here {event link}!

You can use merge fields to personalise your messages more. Read our article here on how to use these.

If a learner were to reply ‘2’ (or 'I can't make that date'), it is best to provide all the information about upcoming events that they can attend instead. If there are no further scheduled events, you can recommend a tour of the facilities. Aim to fill in anything that the student has missed by not attending the event. For example;

Sorry we won't see you there! We have loads of other events coming up over the next few months. Check out our website {event link} for more information. We'd love to see you at one of our open days, and it will give you a chance to ask questions and find out more about your course.

If the student were to reply ‘3’ (or, 'I have some questions first'), pre-empt their questions and offer them a menu selection. Consider your common FAQs and use these for inspiration. Remember, putting these in the chatbot now will save you answering these questions one by one. For example;

What’s on your mind?

1. What should I wear to the event?

2. Can I bring someone with me to the event?

3. How do I get to the event?

4. How long will the event last?

This will help students be prepared for the event, reducing any anxiety and uncertainties. Also, this will mean less individual questions to be answered at a later time, with all the students' questions being automatically answered by the chatbot you've created.
